Office Administrator | Right Hand to General Manager

Role Description:

 

This is a full-time Office Administrator | Right Hand to General Manager role based in Athens in a hybrid arrangement, combining on-site presence with some work-from-home flexibility. The Office Administrator will support the General Manager with day-to-day coordination, including managing calendars, scheduling meetings, preparing documents and reports, and handling correspondence.

 

The role includes overseeing office operations, maintaining office supplies and equipment, organizing files, and ensuring a smooth, professional working environment. The person in this role will act as a key point of contact for clients, partners, and internal teams, providing prompt and courteous responses to inquiries. Additional responsibilities include assisting with basic financial and administrative tasks, supporting event-related logistics when needed, and proactively identifying ways to improve administrative processes.

 

Qualifications:

  • Strong Office Administration and Administrative Assistance skills, with experience managing calendars, meetings, documents, and records.
  • Hands-on experience with Office Equipment and basic troubleshooting to ensure smooth daily operations.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Proven Customer Service skills, demonstrating responsiveness, empathy, and problem-solving when handling inquiries and requests.
  • Proficiency with standard business software (e.g., MS Office or Google Workspace) and comfort working with digital tools and online collaboration platforms.
  • Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to work independently and as part of a team, maintaining confidentiality and professionalism at all times.
  • Previous experience in an office administration or executive support role, preferably in events, marketing, or a related field.
  • Post-secondary education in Business Administration, Office Management, or a related discipline is an asset.
  • Fluency in English required; additional language skills and familiarity with the local market in Athens are considered a plus.

Event Executive

Event Plus, a strong player in the production field of corporate events, is expanding and therefore we are always open to working with passionate, enthusiastic and creative people, with experience in organizing corporate events for high-end clients in an A-Z approach, from conceptization to event implementation.

 

Job Responsibilities

  • Work in a team to plan event from start to finish according to clients’ requirements
  • Identifying clients' requirements and expectations for each event
  • Brainstorming and implementing event concepts and themes
  • Come up with suggestions to enhance the event’s success
  • Researching and booking venues
  • Perform site - inspections
  • Liaising and negotiating with vendors and suppliers
  • Preparing event budgets and processing invoices
  • Be able to coordinate operations and logistical elements of the event
  • Anticipating attendee needs and making preparations against potential risks
  • Ensure event is completed smoothly and step up to resolve any problems that might occur
  • Managing set-up, tear-down, and clean-up operations
  • Updating management team

Key requirements

  • 2 years of experience in the field of corporate themed events, physical and digital
  • Local market knowledge
  • Native Greek speaker
  • Excellent English command
  • Proficient MS Office especially in PowerPoint & Excel use
  • Experience in events project management
  • Excellent organizational skills with the ability to multitask under pressure
  • Strong communication and interpersonal skills
  • Creative, out-of-the-box thinking
  • Ability to lead freelancers and delegate tasks effectively
  • Meticulous attention to detail
  • Expert time management skills
  • Financial savvy, with the ability to adhere to plan budgets and process invoices
  • Degree in event management, marketing or public relations is a plus
